Inviting people and managing roles
Inviting a coordinator or a cleaner, accepting the invitation, changing a role, and property scopes.

Inviting someone
Only an Admin can invite people or change roles.
- Open the member list Settings → Organization → Members lists everyone. It also shows how many have a login and how many invitations are pending.
- Invite Member Enter their e-mail address and pick the role. Each role shows a one-line description. Add a name and phone number if you have them. An optional personal message goes into the e-mail.
- Send Invitation An e-mail goes out with the invitation link. You can also Copy invitation link and send it yourself, for instance over WhatsApp. The link is valid for 14 days.
- If the person is already a contact When the e-mail matches an existing contact, you are offered Add to organization without an invitation, or Send invitation & add.
Accepting the invitation
What the person you invited sees.
The link opens Proptonomy with the message Sign in or create an account to accept this invitation. They can Continue with Google, Continue with Microsoft, or create an account with an e-mail and password. Then they press Accept, or Decline.
A staff member is taken to their Today list. Everyone else lands on the assistant with the navigation their role allows. On a phone, the same account works in the Proptonomy app.
The member list
The same list as in the app. Sign in to see your own team in it.
- Account: Whether the person has a login, when they last signed in, or that an invitation is still pending.
- Role: Change it from the dropdown on the row. The change applies on their next page load.
- Properties: For a Staff coordinator: which properties they reach. All for everyone else.
- Remove member: Takes the person out of the organization. Their account and their other memberships are untouched.
- What each role can do: Opens the access matrix from Roles (https://app.proptonomy.ai/docs/roles#matrix) right in the list.
Property scopes
A Staff coordinator can be narrowed to some of the organization's properties. This applies to the coordinator role only.
Click the Properties cell on a coordinator’s row to open Assign properties. The header says what the scope does. The coordinator sees tasks on these properties and the properties themselves. Organization-level tasks stay visible.
- All properties. Current and future. The default.
- Specific properties. Exactly the ones ticked.
- Assign by rule. By city, tag, or active status. Evaluated live, so a new property that matches joins on its own. Exclusions are applied last.
