Working for a client
How a cleaning or maintenance company receives a client's tasks in its own workspace, and what it sees of the client.

What you get
Your company has its own Proptonomy workspace. The client hands you work by assigning tasks to your company. Those tasks show up on your board next to anything you create yourselves.
A partner organization is a normal organization on Proptonomy that a client has linked to theirs. The link says which kinds of work you do for them, such as cleaning, maintenance or incidents. From then on, any task the client assigns to your company is your task too. It is on your board, your coordinators can open it, and they can hand it to one of your own people.
Nobody at your company needs a login at the client. Your people sign in to your workspace with the roles you give them. The client’s work reaches them there.
- Your board: Every task the client assigned to your company, plus your own. Client tasks carry the client’s name as a badge.
- Your people: Invite coordinators and cleaners with the roles described in Roles and what they can do (https://app.proptonomy.ai/docs/roles).
- Delegation: A coordinator hands a client’s task to a cleaner from the task itself. See Receiving and delegating tasks (https://app.proptonomy.ai/docs/delegating).
- The client: Sees who at your company did the work, when they checked in and out, the photos and the checklist. Not your internal notes about your own team.
What you see of the client
You read the work order, not the client's internal record.
- The task, in full. Title, description, checklist, photos, comments, the property’s name and address, and the access codes the task carries. The door code is there because you need it to do the job.
- Who the client is. The task shows the client’s name, so a board with several clients stays readable.
- Not the client’s property pages. You cannot open the property behind a task. What you need travels on the task.
- Not the client’s systems. Links into the client’s booking system, inbox or other tools are left out of your copy. The names of client staff in the activity log are withheld. The client’s guests and bookings are not yours to browse.
- Not their drafts. A task the client has not published yet is nobody’s work yet, so it does not appear.
Your first day
The order that works for a company of any size.
- Accept your invitation. The client, or whoever set up your workspace, invited you as an Admin or Member. Open the e-mail and sign in with Google, Microsoft, or an e-mail and password.
- Invite your coordinators as Staff coordinator and your cleaners as Staff member under Settings → Organization → Members → Invite Member. The roles decide what each person sees. A cleaner sees only the tasks handed to them.
- Look at the board. Tasks shows the client’s open tasks with the client’s badge. Nothing needs to be accepted to appear there.
- Delegate. Open a task, tap Delegate, tick the people doing it, then Save your team. They get a push notification and an e-mail, and the task is on their Today list in the app.
- Let the cleaner run it. Start work, the door code under Codes & access, the checklist, photos, Finish. The client sees the result the moment it happens.
