# Proptonomy documentation for teams and partners For cleaning and maintenance companies working for a property manager on Proptonomy, and the coordinators and cleaners inside them. Page: https://app.proptonomy.ai/docs/partners ## What you get (https://app.proptonomy.ai/docs/partners#what-you-get) Your company has its own Proptonomy workspace. The client hands you work by assigning tasks to your company. Those tasks show up on your board next to anything you create yourselves. A partner organization is a normal organization on Proptonomy that a client has linked to theirs. The link says which kinds of work you do for them, such as cleaning, maintenance or incidents. From then on, any task the client assigns to your company is your task too. It is on your board, your coordinators can open it, and they can hand it to one of your own people. Nobody at your company needs a login at the client. Your people sign in to your workspace with the roles you give them. The client’s work reaches them there. - Your board: Every task the client assigned to your company, plus your own. Client tasks carry the client’s name as a badge. - Your people: Invite coordinators and cleaners with the roles described in Roles and what they can do (https://app.proptonomy.ai/docs/roles). - Delegation: A coordinator hands a client’s task to a cleaner from the task itself. See Receiving and delegating tasks (https://app.proptonomy.ai/docs/delegating). - The client: Sees who at your company did the work, when they checked in and out, the photos and the checklist. Not your internal notes about your own team. ## What you see of the client (https://app.proptonomy.ai/docs/partners#what-you-see) You read the work order, not the client's internal record. - The task, in full. Title, description, checklist, photos, comments, the property’s name and address, and the access codes the task carries. The door code is there because you need it to do the job. - Who the client is. The task shows the client’s name, so a board with several clients stays readable. - Not the client’s property pages. You cannot open the property behind a task. What you need travels on the task. - Not the client’s systems. Links into the client’s booking system, inbox or other tools are left out of your copy. The names of client staff in the activity log are withheld. The client’s guests and bookings are not yours to browse. - Not their drafts. A task the client has not published yet is nobody’s work yet, so it does not appear. ## Your first day (https://app.proptonomy.ai/docs/partners#day-one) The order that works for a company of any size. 1. Accept your invitation. The client, or whoever set up your workspace, invited you as an Admin or Member. Open the e-mail and sign in with Google, Microsoft, or an e-mail and password. 2. Invite your coordinators as Staff coordinator and your cleaners as Staff member under Settings → Organization → Members → Invite Member. The roles decide what each person sees. A cleaner sees only the tasks handed to them. 3. Look at the board. Tasks shows the client’s open tasks with the client’s badge. Nothing needs to be accepted to appear there. 4. Delegate. Open a task, tap Delegate, tick the people doing it, then Save your team. They get a push notification and an e-mail, and the task is on their Today list in the app. 5. Let the cleaner run it. Start work, the door code under Codes & access, the checklist, photos, Finish. The client sees the result the moment it happens. ## Limits worth knowing (https://app.proptonomy.ai/docs/partners#limits) Limit: Your workspace is mostly empty by design. Properties, Inbox, Knowledge and Calendar belong to your own organization. A contractor with no listings of its own will find them empty. The board is where the client’s work lives. Limit: Property scopes do not apply to a client's work. A coordinator can be narrowed to some of your properties. That scope is about your own listings. A contractor’s coordinator should stay on All properties, or the client’s tasks disappear from their view. Note: One company, several clients. If two clients both hand you work, both sets of tasks land on the same board, each with its client’s badge. A client never sees another client’s tasks. --- # Roles and what they can do The six roles, which one to give whom, and a live view of what each role can read and change. Page: https://app.proptonomy.ai/docs/roles ## The roles (https://app.proptonomy.ai/docs/roles#the-roles) A person's membership in an organization carries one role. The role decides what they can read and change. A coordinator's membership can also be narrowed to some properties. - Admin: Everything, including members, integrations and billing. - Member: Property manager. Everything except members, integrations and billing. - Staff coordinator: Runs a crew. Sees, creates and assigns tasks, reads properties and conversations, delegates work from clients." - Staff member: Does the work. Sees only the tasks assigned to them and acts on those. The cleaner. - Viewer: Reads everything, changes nothing. The default for a shared ops-channel account until it is converted." - Property owner: Owner-portal access to their own properties. [Example on the page: Pick a role. Live from the server's table. The same data as the matrix below, one role at a time.] A person can belong to several organizations with a different role in each. Someone can be a coordinator at your company and a viewer at a client. The app switches between them with the work-scope picker. ## The access matrix (https://app.proptonomy.ai/docs/roles#matrix) Read live from the server's own table. A pen means edit, which includes reading. An eye means read. The person mark means assigned only: the tasks the person is assigned to and the properties on them. Hover a mark for its meaning.] ## Which role for whom (https://app.proptonomy.ai/docs/roles#which-role) - The owner or manager of your company: Admin. Someone has to invite people, change roles and connect a channel. - Office staff who plan the day: Staff coordinator. They see every task, delegate the client’s work to cleaners, and read the properties and conversations they need. They cannot change members or settings. - Cleaners and handymen: Staff member. They see what was handed to them and do it. The app sends them straight to their Today list. - A shared phone, a chat group, or someone who only needs to look: Viewer. - Member is for property managers running their own listings. A contractor rarely needs it. It opens finance, leads and settings that have nothing in them for you. Note: Changing a role later is one click. Roles are changed from the member list. A cleaner promoted to coordinator sees the whole board on their next page load. A coordinator demoted to staff member loses it just as quickly. ## Where each role lands (https://app.proptonomy.ai/docs/roles#landing) - Staff members open on Today in the cleaner view, with History and Profile beside it. The rest of the workspace is out of the way. - Everyone else opens on the assistant. Tasks, Inbox, Properties, Team map and the rest sit in the navigation according to their role. - Settings are visible to admins and members. A coordinator sees the pages that only read. --- # Inviting people and managing roles Inviting a coordinator or a cleaner, accepting the invitation, changing a role, and property scopes. Page: https://app.proptonomy.ai/docs/team ## Inviting someone (https://app.proptonomy.ai/docs/team#invite) Only an Admin can invite people or change roles. 1. Open the member list Settings → Organization → Members lists everyone. It also shows how many have a login and how many invitations are pending. 2. Invite Member Enter their e-mail address and pick the role. Each role shows a one-line description. Add a name and phone number if you have them. An optional personal message goes into the e-mail. 3. Send Invitation An e-mail goes out with the invitation link. You can also Copy invitation link and send it yourself, for instance over WhatsApp. The link is valid for 14 days. 4. If the person is already a contact When the e-mail matches an existing contact, you are offered Add to organization without an invitation, or Send invitation & add. ## Accepting the invitation (https://app.proptonomy.ai/docs/team#accepting) What the person you invited sees. The link opens Proptonomy with the message Sign in or create an account to accept this invitation. They can Continue with Google, Continue with Microsoft, or create an account with an e-mail and password. Then they press Accept, or Decline. A staff member is taken to their Today list. Everyone else lands on the assistant with the navigation their role allows. On a phone, the same account works in the Proptonomy app. Note: A pending invitation can be renewed or revoked. From the member list: Copy invitation link, Renew invitation (extend 14 days), Revoke invitation, or delete it. A revoked link stops working immediately. ## The member list (https://app.proptonomy.ai/docs/team#members) The same list as in the app. Sign in to see your own team in it. - Account: Whether the person has a login, when they last signed in, or that an invitation is still pending. - Role: Change it from the dropdown on the row. The change applies on their next page load. - Properties: For a Staff coordinator: which properties they reach. All for everyone else. - Remove member: Takes the person out of the organization. Their account and their other memberships are untouched. - What each role can do: Opens the access matrix from Roles (https://app.proptonomy.ai/docs/roles#matrix) right in the list. ## Property scopes (https://app.proptonomy.ai/docs/team#scopes) A Staff coordinator can be narrowed to some of the organization's properties. This applies to the coordinator role only. Click the Properties cell on a coordinator’s row to open Assign properties. The header says what the scope does. The coordinator sees tasks on these properties and the properties themselves. Organization-level tasks stay visible. - All properties. Current and future. The default. - Specific properties. Exactly the ones ticked. - Assign by rule. By city, tag, or active status. Evaluated live, so a new property that matches joins on its own. Exclusions are applied last. Limit: Not for contractors' coordinators. The scope is about your properties. A coordinator at a company that works for a client should stay on All properties. A scope over an empty portfolio hides the client’s tasks. --- # Receiving and delegating tasks Where a client's tasks appear, how a coordinator hands one to a cleaner, and what the client sees back. Page: https://app.proptonomy.ai/docs/delegating ## The board (https://app.proptonomy.ai/docs/delegating#the-board) Tasks the client assigned to your company appear on your board with the client's name. [Example on the page: Your board, with a client's task. The badge is the client. Your own tasks carry no badge.] Tasks is the same board the client uses on their side, filtered to what concerns you. Nothing needs to be accepted for a task to appear. The moment the client assigns your company, it is here. A coordinator sees all of it. A staff member sees only what has been handed to them personally. ## Delegating to your team (https://app.proptonomy.ai/docs/delegating#delegate) From the task, by a Staff coordinator, Admin or Member of your company. 1. Open the task From the board, or from the notification the client’s assignment sent you. 2. Delegate The control reads Delegate while nobody at your company is on it, and Your team · 2 once someone is. On a phone it opens as a sheet titled Who on your team is doing this? 3. Tick your people, then Save your team You see your own members only. Saving replaces your company’s assignments on this task. It never touches the client’s or another partner’s. A toast confirms Delegated to your team. 4. Change your mind any time Open the same control, untick, save. Cleared your team’s assignments means nobody at your company is on it any more. The task stays on your board because it is still assigned to your company. Note: Who can delegate. The control appears only for someone who belongs to a partner company on the task, holds a role that may change tasks, and reaches the property. A Staff member never sees it. Neither does anyone at the client. ## What the cleaner sees (https://app.proptonomy.ai/docs/delegating#what-the-cleaner-sees) - Today. The task is on their Today list in the app, with the time window when the task has one. - The task. Title, description, the property’s address with Open in Google Maps, the checklist, comments, and Codes & access for the door code and how to get in. - Start work to Finish. Described in The app for cleaners (https://app.proptonomy.ai/docs/cleaner-app#a-task). - Not the rest. A staff member does not see other people’s tasks, the client’s board, or anything the task does not carry. ## Notifications (https://app.proptonomy.ai/docs/delegating#notifications) - When the client assigns your company: An e-mail to your company’s address, and a push notification to your staff who have the app. - When you delegate to a person: A push notification New task assigned with the task title. It opens the task. An e-mail follows if the person has an address. - Comments: Someone mentioned in a comment is notified. The client sees your comments on the task and you see theirs. Limit: Assignments are not announced on WhatsApp. Task assignments go out by push and e-mail. Over WhatsApp, the cleaner asks the assistant for their tasks instead. See Working from WhatsApp (https://app.proptonomy.ai/docs/whatsapp). ## What the client sees (https://app.proptonomy.ai/docs/delegating#back-to-client) On the client’s side the task shows your company. Once you delegate, it shows the person’s name with your company next to it. Check-in and check-out are stamped with the time and, where the cleaner allowed it, the place. Photos, checklist answers, comments and reported issues appear on the client’s copy as they happen. When the cleaner presses Finish, the client sees Completed with the tracked time. --- # The app for cleaners Installing and signing in, the Today list, and a task from Start work to Finish. Page: https://app.proptonomy.ai/docs/cleaner-app ## Install and sign in (https://app.proptonomy.ai/docs/cleaner-app#install) 1. Install Proptonomy Search for Proptonomy in the App Store, or open it on Google Play (https://play.google.com/store/apps/details?id=ai.proptonomy.app) . The web app at app.proptonomy.ai works in a phone browser too. The app adds push notifications, the camera, location while working, and in-app calls. 2. Sign in Use the account you accepted your invitation with: Continue with Google, Continue with Microsoft, or e-mail and password. Face ID or fingerprint can lock the app afterwards. 3. Allow notifications Say yes when the app asks. Assignments and comments arrive as notifications that open the task. ## Today (https://app.proptonomy.ai/docs/cleaner-app#today) A staff member opens on Today: the tasks handed to them, split into what is left and what is done. [Example on the page: Today. The card is the one the app renders. The tasks are examples.] - Gjenstår / Remaining. Tasks offered or confirmed for today, with their time window when the task has one. - Fullført / Done. What was finished today. - Pull down to refresh. Tap a card to open the task. ## A task, start to finish (https://app.proptonomy.ai/docs/cleaner-app#a-task) [Example on the page: The bottom bar, live. The real control. Press Start work, Pause, Resume and Finish and watch the clock. Nothing is saved.] 1. Read it Title, description, the property’s address with Open in Google Maps, and comments from the coordinator or the client. 2. Start work Start work on the bottom bar checks you in with the time and, if you allowed it, your location. The timer runs. Pause and resume from the same bar. There is no separate accept step. Starting is accepting. 3. Codes & access The row Codes & access opens the door code with Copy door code, and the instructions under Getting in. Revealing a code is logged. 4. Checklist and photos Work through the Checklist. Items that ask for a photo open the camera. Photos land on the task where the client sees them. 5. Comments and Ask AI Comments to talk to your coordinator or the client on the task itself. Ask AI for questions about the property or the job. 6. Finish Finish checks you out and stops the timer. The bar then shows Checked out with the tracked total, and the client sees Completed. ## Reporting an issue (https://app.proptonomy.ai/docs/cleaner-app#issues) Something broken, missing or wrong at the property. Report an issue on the task opens a short form: Ta bilde eller video (take a photo or video), Legg til detaljer (what happened, other details), Send rapport. The report becomes an incident on the task. The coordinator and the client see it, with the photos attached. Note: Expenses. Receipts go on the task too, under expenses, with an amount and a photo. The client’s copy shows them. ## History and profile (https://app.proptonomy.ai/docs/cleaner-app#history) - Historikk / History: Everything you finished, by day. - Profil / Profile: Your name and e-mail, notifications, password, Face ID or fingerprint lock, location sharing, and Logg ut. - Languages: The cleaner view is in Norwegian. Task content is in whatever language it was written in. See Languages and translation (https://app.proptonomy.ai/docs/translation). --- # Location sharing and the team map What the app records about where people are, with whose consent, and what a coordinator sees on the team map. Page: https://app.proptonomy.ai/docs/location ## Consent (https://app.proptonomy.ai/docs/location#consent) Nothing live is shared until the person says so. Check-in and check-out are always stamped. [Example on the page: The prompt, the first time the work clock runs. Shown once, inside the task. “Not now” can be changed later from Profile.] The first time a person presses Start work, the app asks Share your location while you work? It explains: your coordinator sees where you are on the team map while your work clock runs and the app is open. Nothing is sent otherwise. Share while working turns it on. Not now leaves it off. The same switch as under Profile and Settings → Availability.] ## What is shared, and when (https://app.proptonomy.ai/docs/location#what-is-shared) - Check-in and check-out: Always stamped with the time and the position at that moment. This is the proof the work happened at the property. - While working, with consent: A position every two minutes while the work clock runs and the app is open, plus one final position when the clock stops. - Without consent: Only the check-in and check-out stamps. No pings. - When the app is closed or in the background: Nothing. The app does not track in the background. - Off the clock: Nothing, consent or not. Note: The phone asks too. The operating system asks for location permission the first time. Proptonomy only reads location while the app is open, and says so in that prompt. ## The team map (https://app.proptonomy.ai/docs/location#team-map) For coordinators, admins and members: who is working, where they last were, and what they are on. [Example on the page: The team map, live. The real map with four example cleaners. Click a person to focus them.] - Statuses: Working, On a break, On the move, Just finished, Offline. Filter by Everyone, Working, On the move, Just finished, Offline. - Where a position came from: Live (a ping), Checked in, Checked out, or Seen, with how long ago. A person with nothing yet shows No position yet. - What they are on: the current task and its property. - Open it from Team map in the navigation. Staff members do not have it. They see their own tasks, not their colleagues’ whereabouts. ## Turning it off (https://app.proptonomy.ai/docs/location#turning-it-off) In the app, Profile has the switch Share my location while I work. Off means only the check-in and check-out spots are recorded. Admins and members find the same switch under Settings → Availability. The phone’s own location permission for Proptonomy can be withdrawn in the phone’s settings as well. --- # Working from WhatsApp One message connects you. What a cleaner can ask and do from WhatsApp, and how coordinators reach their team. Page: https://app.proptonomy.ai/docs/whatsapp ## Connecting a chat (https://app.proptonomy.ai/docs/whatsapp#connect) There is one Proptonomy number. Send it a message. What happens next depends on whether Proptonomy already knows your phone number. - The number: +47 466 75 983 - Start chatting: Open WhatsApp and message Proptonomy (https://wa.me/4746675983?text=) 1. Send any message A greeting is enough. Proptonomy answers within a few seconds. 2. If Proptonomy already knows your number When your organization has WhatsApp connected and has a contact with your phone number, your chat is connected at once. No link, no code. The assistant answers as your organization’s, and with what your role may see. This is why a coordinator should add a cleaner’s phone number when inviting them. 3. Otherwise, open the link in the reply The reply says the chat is not connected yet and includes a link. Open it, sign in, pick your organization, and press connect. From then on this chat is yours. Anything you write here is handled as you, with your role. 4. Groups Add the Proptonomy number to a WhatsApp group and send a message in it. The reply carries a link for the group. The person who opens it chooses which organization the group belongs to and whether the assistant may act in it. [Example on the page: The first message. What a new number sees. A known number skips straight to an answer.] Anna: Hi Proptonomy Proptonomy: 👋 Hi Anna! This chat isn't connected to Proptonomy yet. If you manage properties, click here to connect this chat to your Proptonomy organization: app.proptonomy.ai/connect-chat/… Note: One number is known by one organization. Automatic connection happens only when exactly one organization knows your phone number. If two do, the reply carries the link instead, and you choose. ## What a cleaner can ask (https://app.proptonomy.ai/docs/whatsapp#what-to-ask) Plain language, in any language. The assistant acts with the person's own access. A staff member gets their own tasks and nothing else. [Example on the page: A morning on WhatsApp. Every change the assistant makes on a task carries who asked and why, and shows in the task's activity.] Anna: What do I have today? Proptonomy: Two tasks today: 1. Checkout clean, Storgata 12, 3rd floor. Guest leaves 11:00, next arrives 15:00. 2. Replace shower hose, Nygårdsgaten 4. Any time before 16:00. Anna: Door code for Storgata 12? Proptonomy: Storgata 12: door code 4471#. The key box is left of the entrance, code 2210. Anna: The washing machine leaks, see photo [photo: IMG_2231.jpg] Proptonomy: Noted on the task with your photo. Your coordinator and Heimby can see it. Anna: Finished Storgata 12 Proptonomy: Marked as completed at 13:42. Next: Replace shower hose, Nygårdsgaten 4. - Today's work: “What do I have today?” lists the tasks assigned to them, with properties and times. - The next one: “What’s next?” gives the next upcoming task. - Getting in: “Door code for Storgata 12?” gives the access instructions for a property on one of their tasks. - Done: “Finished the cleaning at Storgata 12.” marks the task completed, with a note of who said so. - A finding: “The washing machine at Storgata 12 leaks, here is a photo.” puts a comment with the photo on the task, where the coordinator and the client see it. - Blocked: “Can’t get in, nobody answers.” marks the task blocked with the reason, so the coordinator sees it needs a person. - A question about the property: “Where is the fuse box?” is answered from the property’s knowledge. ## Reaching your team (https://app.proptonomy.ai/docs/whatsapp#coordinators) - On the task. Comments on the task reach the people on it, in the app and by notification. This is the record the client can see too. - In your connected group. A connected WhatsApp group is your team’s channel. The assistant is in it, and can brief people, chase confirmations and reflect photos back onto tasks. With the relay on, a message in Polish is re-posted in Norwegian and English right after it. Conversations with connected people and groups appear in your Inbox, so a coordinator can write to a cleaner from the desk. ## Limits worth knowing (https://app.proptonomy.ai/docs/whatsapp#chat-limits) Limit: Assignments are not pushed to WhatsApp. A new assignment arrives as a push notification and an e-mail. Over WhatsApp, the cleaner asks for their tasks. Limit: One WhatsApp number, one Proptonomy account. A personal chat is tied to the account that connected it, or to the contact whose phone number matched. A shared phone should be connected as a shared account, a Viewer or a Staff member made for that phone, not as a coordinator’s own account. Note: Groups are not guests. Only a chat that was connected as public-facing is treated as a guest conversation. A connected staff chat or group is internal. The assistant speaks as a colleague and may act on tasks. --- # Languages and translation The relay that re-posts every group message in each language, your inbox language, translating one message, and the language the AI writes in. Page: https://app.proptonomy.ai/docs/translation ## The relay for group chats (https://app.proptonomy.ai/docs/translation#relay) A connected team chat can have several languages. With the relay on, every message is re-posted in each of the others, so everyone reads every message in their own language. [Example on the page: Group languages and the relay, live. The two controls from the conversation sidebar. Change them and watch what the group would see.] The post comes from Proptonomy right after the original, marked with a globe and the sender’s name. One block per language, each labelled in that language. The original is never changed. Proptonomy’s own messages are relayed the same way. [Example on the page: What the group sees. The exact format. Polski: Dzięki, wyślę nowe. - Two or more languages: Everyone reads every message in their own language. - Exactly one language: That language is the chat’s. Anything written in another language is re-posted in it. A message already in it is left alone. - Learns as it goes: When someone writes twice in a language the chat does not have yet, it is added, up to eight, with a notice: Added Polski to this chat’s languages because Piotr writes in it. Reply ‘Proptonomy remove Polski’ to undo. - Skips: Its own relay posts, internal notes, and messages with nothing to translate, such as a lone emoji, a link, or a mention." - Several messages in a row: Consecutive messages from the same person become one post. ## Turning the relay on and off (https://app.proptonomy.ai/docs/translation#relay-operate) From the app, from the chat with a plain command, or by asking the assistant. Staff only, group chats only. - In the app. Open the conversation, and under Linked entities set Group languages with Add a language, then switch on Relay every message. The line under the switch says what will happen: Each message is re-posted in Norsk, English. - From the chat, no AI needed. Write `Proptonomy languages: no, en` to set the list, `Proptonomy add Svenska` or `Proptonomy remove Svenska` to change it, `Proptonomy relay off` or `Proptonomy relay on`, and `Proptonomy help`. Proptonomy confirms with Group languages: Norsk, English. Relay: on. - By asking the assistant. Everything in English please, our cleaners read Polish, remove Norwegian, stop translating. The assistant changes the setting for this chat only, and confirms. [Example on the page: Asking the assistant. The confirmations are fixed text from the setting itself, so what the assistant says is what was done.] Jonas: Proptonomy, everything in English please Proptonomy: English is now this chat's language: anything written in another language is re-posted in English, and a message already in English is left alone. It never translates by hand, never asks what to translate, and never turns a request into a standing rule. A language change is a change to this chat’s setting, or it did not happen. For a team chat where people write in different languages, pin the one the assistant should use. In a conversation’s sidebar, the field AI language sets the language every AI-written message to that conversation is composed in. The default, Mirror whoever writes, follows the language of recent messages. Or pin one of the fourteen languages. In a connected team chat, people can pin it from the chat as well. Reply to one of the assistant’s messages with the name of a language, or just write the language’s name, and it is set for that chat. - Where:
