Terms of Service

1. Acceptance of terms
By accessing or using the Proptonomy platform ("Service") operated by Proptonomy AS ("Proptonomy", "we", "us"), org. no. 836 984 242, Strandgata 52, 6905 Florø, Norway, you agree to be bound by these Terms of Service. If you use the Service on behalf of an organization, you represent that you are authorized to bind that organization. If you do not agree, do not use the Service. Where a separate written agreement between Proptonomy and your organization conflicts with these Terms, the written agreement prevails.
2. Description of service
Proptonomy is an AI-assisted operations platform for property management: unified guest, owner, and team communications, task and cleaning coordination, owner onboarding, knowledge management, and two-way integrations with property management systems and messaging channels.
3. AI features & human oversight
- The Service includes AI features that can draft and send messages, create and schedule tasks, and update records, subject to the autonomy settings your organization configures (from read-only suggestions to automatic replies).
- AI output can be inaccurate or incomplete. Your organization is responsible for configuring appropriate autonomy levels and supervising AI activity in the Service. AI quality is improved by providing good documentation and clear SOPs in the Proptonomy knowledge base.
- Content you bring into the Service is not used to train AI models, ours or a provider's. Every AI request is routed only to providers that do not retain or train on the content we send them, and data obtained through Google Workspace APIs is never used to develop, improve, or train generalized or non-personalized AI or machine-learning models. - The Service does not provide legal, tax, or other professional advice; AI-generated content is operational assistance only.
4. User accounts
- You must provide accurate and complete information when creating an account.
- You are responsible for maintaining the security of your account credentials.
- You must notify us immediately of any unauthorized use of your account.
5. Acceptable use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable laws.
- Attempt to gain unauthorized access to any part of the Service.
- Interfere with or disrupt the Service or its infrastructure.
- Upload malicious code or content that could harm the Service or other users.
- Use the Service to send spam or unsolicited communications.
6. Customer data & privacy
You and your organization retain ownership of the data you bring into the Service. Where that data contains personal data of guests, owners, or other individuals, your organization is the data controller and Proptonomy acts as processor under our Data Processing Agreement. You are responsible for having a lawful basis to process the personal data you connect to the Service — for example guest communications imported from messaging channels and property management systems. Our processing is described in the Privacy Policy. If we become aware of a personal data breach affecting data we process for you, we will notify you without undue delay in line with the Data Processing Agreement. You can export your organization's conversations and messages from the Service at any time in a portable format (JSON or CSV).
7. Third-party integrations
The Service allows you to connect third-party accounts (e.g., Google, Microsoft 365, and property management systems such as Guesty, Hostaway, Uplisting, Resly, Lodgify, Hybel, KrossBooking, or AndHamlet, and messaging channels such as WhatsApp, Telegram, LINE, or Slack). By connecting these services, you authorize Proptonomy to access and process data from those services as described in our Privacy Policy, which sets out, for each integration, what the Service reads and what it can write back.
PMS connections are two-way by default. For the PMS integrations that support it, your organization's administrators can switch a connection to read-only (Proptonomy pulls data in but does not change your records there, apart from maintaining the webhooks that keep data in sync), and the writes Proptonomy sends are recorded in an outbound-write audit log your organization can review in the Service. Which writes each integration can make, and which of them read-only mode covers, is set out per integration in our Privacy Policy. You are responsible for choosing an appropriate mode and reply policy and for complying with the terms of service of any third-party platforms you connect. Third-party services are outside our control, and we are not responsible for their availability or conduct.
KrossBooking does not publish the complete interface used by its own applications. The KrossBooking connection therefore uses an allow-listed version of that application interface and may stop working or lose individual capabilities if KrossBooking changes or restricts it. By connecting KrossBooking, you confirm that you are authorized to provide the account credentials and to let Proptonomy read, synchronize, and, when two-way mode is enabled, change data in that account. Proptonomy records attempted KrossBooking writes in the same outbound-write audit log described above. The exact data and automatic email verification flow are described in our Privacy Policy.
8. Availability & changes to the service
We work to keep the Service available and performant, but the Service is provided "as is" and "as available" without warranties of uninterrupted or error-free operation. We may improve, change, or discontinue features over time; we will not materially reduce the core functionality your organization has subscribed to without reasonable notice.
9. Intellectual property
The Service and its original content, features, and functionality are owned by Proptonomy AS and are protected by copyright, trademark, and other intellectual property laws. You retain ownership of any data you upload or generate through the Service.
10. Limitation of liability
To the maximum extent permitted by law, Proptonomy shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, or any loss of data, use, goodwill, or other intangible losses resulting from your use of the Service, including actions taken by AI features configured by your organization. Nothing in these Terms limits liability that cannot be limited under applicable law.
11. Termination
We may terminate or suspend your access to the Service for conduct that we believe violates these Terms or is harmful to other users, us, or third parties. Your organization may stop using the Service as set out in its agreement with us. Upon termination, we make your organization's data available for export and then return or delete it in accordance with the Data Processing Agreement, ordinarily within 30 days of the request.
12. Changes to terms
We reserve the right to modify these Terms at any time. We will notify users of material changes by updating the "Last updated" date at the top of this page and, for significant changes, by notice in the Service or by email. Your continued use of the Service after such changes constitutes acceptance of the new Terms.
13. Governing law
These Terms shall be governed by and construed in accordance with the laws of Norway, without regard to its conflict of law provisions. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the Norwegian courts.
